Job Title: Operations Analyst - Financial Reconciliation

Location: Houston, TX (Hybrid)

Job Summary:

The Operations Analyst - Financial Reconciliation is responsible for ensuring the financial integrity of the operational remittance functions through the reconciliation of key operational activities. This role requires the use of various tools and reports to ensure accurate and timely cash reconciliations, effective management of accounts receivable (AR), and the resolution of discrepancies. The goal is to maintain accuracy in financial records and ensure that operational functions align with financial reporting.

Key Responsibilities:

  • Cash Receipts Reconciliation:
    Reconcile cash receipts in the bank against cash posted in the customer billing system of record. Identify discrepancies and collaborate with relevant teams to address and correct issues. This includes handling daily reconciliations, weekly reviews, and month-end closing processes.
  • Payments in Transit (PIT) Tracking:
    Support cash reconciliation by maintaining and tracking the Payments in Transit (PIT) records across various payment channels for the customer portfolio, ensuring all payments are accurately tracked and reconciled.
  • Customer Refunds Reconciliation:
    Reconcile customer refunds issued for AR account adjustments in the billing system. Identify any duplicate or over-refunded amounts and work with necessary teams to resolve discrepancies.
  • Month-End operations deliverables for financial accounting entries:
    Ensure timely and accurate completion of all month-end deliverables from an operational standpoint that feed into the financial accounting entries, maintaining financial integrity and consistency.
  • Unclaimed Property Process Support:
    Investigate and resolve customer post-final bill credit balances, feeding into the unclaimed property process. Research account balances, apply necessary adjustments to settle accounts, and collaborate with other teams to generate unclaimed property files for state filings.
  • Outsourced Vendor monitoring and support:
    While not directly supervising team members, the role includes monitoring the performance of the outsourced vendor team supporting this function. Responsibilities include providing process guidance, answering inquiries, reviewing reconciliation results, and escalating any issues or inconsistencies to the manager for further action.
  • Inactive Accounts and Over Adjustments:
    Monitor and review any over-adjustments posted on customer AR accounts after they become inactive. This involves reviewing portfolio-level write-offs, reconciling cash entries from collections agencies, and ensuring the proper reconciliation of cash receipts received from these agencies.
  • Collaboration and Continuous Improvement:
    Collaborate with cross-functional teams to ensure seamless operations and process improvements. Continuously monitor and identify areas for operational enhancements, recommending changes to improve efficiency and accuracy.

Qualifications:

  • Education:
    Bachelor's degree in Finance, Accounting, or a related field (or equivalent experience).
  • Experience:
    At least 2-3 years of experience in a financial reconciliation or operational analysis role. Experience in accounts receivable, cash reconciliation, and month-end close processes is highly preferred.
  • Skills and Abilities:
    • Strong understanding of financial reconciliation processes and best practices.
    • Proficiency in financial software and tools (e.g., Excel, ERP systems, customer billing systems).
    • Detail-oriented with excellent problem-solving skills.
    • Ability to analyze data, identify discrepancies, and work cross-functionally to resolve issues.
    • Strong communication skills, both written and verbal, with the ability to explain complex issues to non-financial stakeholders.
    • Ability to work independently and as part of a team, with a strong focus on meeting deadlines.
  • Other Requirements:
    • Ability to handle multiple priorities in a fast-paced environment.
    • Knowledge of state unclaimed property regulations is a plus.
