JOB SUMMARY

This position provides executive support for the Southern Company Services (SCS) Vice President of Safety & Training.

The Executive Assistant (EA) should be a self-starter with extensive experience in the administrative field supporting an officer or senior level manager in a corporate environment. This position requires exceptional organizational, decision-making and resourcefulness skills for the primary purpose of managing the VP's calendar, travel and email. The EA will also play a key role in assisting the VP of Safety and Training with critical presentations, communications and the gathering of data that is relevant to the success of the entire Safety & Training organization. The EA should have strong communication skills, both written and oral, as they will be expected to communicate with other executive offices as well as vendors, contractors and industry contacts. This position will be privy to sensitive information and must always be able to maintain confidentiality. The person in this role must exemplify Our Values and be a team player, as they will be an integral member of an executive assistant team in Operations and across Southern Company.

JOB REQUIREMENTS

Experience:

  • Extensive experience providing administrative support in a busy, high-volume office, preferably executive level support in a corporate environment or relevant work experience in a customer service/support role.

  • Previous exposure to and experience managing confidential information on behalf of an executive and leadership team.

  • Experience working with others to obtain information needed to pull together customer/vendor communication and presentations that are critical to the success of the organization.

  • Experience with timekeeping, expense reporting, arranging travel and coordinating meetings.

  • Experience managing a senior/executive level calendar, email and calls.

  • Demonstrated experience working effectively in a team environment.

  • Proven ability to anticipate needs and proactively address issues.

Skills:

  • Must possess excellent organizational and decision-making skills, using good judgement to either involve leadership or make independent decisions.

  • Proven ability to produce accurate results in a timely manner independently, with minimal supervision and direction.

  • Ability to provide error-free, professional correspondence and communications (with minimal revisions), via email or hard copy, as a trusted representative of the executive office.

  • Ability to prioritize, multi-task, organize, meet deadlines, and support the needs of an executive and leadership team.

  • Ability to build and maintain relationships with executive support staff across Southern Company in an effort to manage the VP's calendar and travel.

  • Demonstrated proficiency in Microsoft Office products, including Outlook, Teams, PowerPoint, Word, and Excel.

  • Demonstrated proficiency in timekeeping, expense reporting, and invoice entry and processing preferably in Oracle HCM and Maximo.

  • Must possess excellent customer service, time management, interpersonal, and communication (written and oral) skills.

  • A desire to foster an inclusive work environment with open communication so the executive stays informed of activities within the organization.

  • Must be an effective team player, by building relationships and partnering with other administrative staff to provide adequate coverage across the entire Safety & Training organization.

MAJOR JOB RESPONSIBILITIES

  • Professionally represent the office of Safety & Training through interactions with employees of all levels, internal customers, and external vendors and partners.

  • Manage the VP's calendar, monitor email, and answer phone calls to proactively prioritize requests and ensure the VP remains abreast of daily activities.

  • Manage and prioritize internal and external meetings, considering location and travel time, and taking initiative to make changes as needed.

  • Leverage resources to pull together and provide relevant data to the VP around business needs, customer issues, etc.

  • Draft correspondence and create presentations, as needed.

  • Attend meetings and take minutes, as needed.

  • Process invoices through Maximo.

  • Provide support to other Safety & Training managers as needed.
