Job Summary

As the Front Desk and Facilities Coordinator, you are the initial point of contact at our corporate office for visitors including customers, current or prospective employees, vendors and business partners.  As such, the pleasant experience we provide is essential to establishing a lasting positive impact.  You will assist in organizing and participating in various company events and to ensure a positive employee experience. Additionally, you will contribute to the effective administration of office processes such as mail delivery and shipping, document management, and liaising with facilities and building management. 

Responsibilities:

Greet visitors and coordinate meeting with internal parties while ensuring their visit is comfortable and professional.
Process mail and packages daily, both incoming and outgoing.
Manage all vendor relationships, contracts and service schedules. (e.g., document shredding, pest control, etc.)
Process purchase orders and review invoices for all facility-related expenses.
Serve as the liaison for building management, including maintenance requests, insurance certifications, conducting fire drills, etc.
Assist executive team with travel, logistics and other requests.
Assist with organizing social events and business events in collaboration with other team members for both corporate wide and locally held events.
Coordinate and administrate a variety of vendors for food and refreshment orders, logistics, and office related matters.
Coordinate and order office supplies.
Process badges and parking.
Maintain office and seating assignments.
Other duties as assigned. 

Requirements:

Work from the corporate office daily Monday through Friday.

Very professional, courteous, and responsive.

Must be detail oriented, productive, and efficient.

Must be proficient in MS Office software particularly Outlook, Word, Excel, PowerPoint.

Strong business acumen and data-driven decision-making capabilities.

Excellent written and verbal communication skills.

Must be well-organized and comfortable working in a fast-paced work environment.

Must be physically able to bend, stoop, climb, walk, and lift & carry heavy objects (up to 20 lbs).

1-3 years' experience required.

Ability to work both independently and collaboratively with different departments, and a team player with high energy, positive attitude, and dedication to quality and accuracy.

Education: High School Diploma required.
