Department Overview
Gas Operations is focused on ensuring the safe and reliable flow of natural gas to our customers. As a whole, Gas Operations is responsible for all aspects of PG&E's gas distribution and transmission operations, including planning, engineering, maintenance and construction, restoration and emergency response.
Position Summary
The position is responsible for the administration and cost booking for Gas Operations construction and support contracts. The administrator will be responsible for ensuring contract costs are booked accurately and timely; booking accruals; invoice processing and validation; contract terms compliance; and early payment discount (EPD) achievement.
Job Responsibilities
- Ensures accurate financial contract costs are accounted for in a timely manner.
- Works with Project Managers, Sourcing, and suppliers to identify and manage contract issues; ensures all parties adhere to contract requirements and specifications, confirms the supplier delivered on contract commitments.
- Reviews terms and conditions of new MSA level contracts.
- Leads and drives toward reduced payment cycle time, reduced missed early payment discounts, and drives down total blocked invoices.
- Prepares and issues Notice to Proceed upon approvals of Contract Work Authorization (CWA), site-specific safety plan (SSSP), and Release to Construction (RTC) documents.
- Performs contract closeout. Ensures accurate documentation is complete and transmitted. Processes final payments. Where applicable obtains, calculates, and supports alliance contract true-ups.
- Monitors and manages retention releases. Ensures that release is consistent with terms and conditions of the contract.
- Represents the Contract Management department at Line of Business partner meetings including work streams.
Qualifications
Minimum:
- High School Diploma or equivalent
- Two years of finance/accounting, contract administration, construction or other related experience.
- Considerable knowledge with basic accounting principles (i.e. journal entries, debits, credits, etc.) and accounting functions. Job cost and construction experience will be key for this position.
Desired:
- BS degree in Accounting, Business Administration or Construction Management, or equivalent work experience
- Knowledge of contract administration tools, techniques and procedures including invoice matching, goods receipts, accruals, journal entries, change orders, .
- Understanding of construction terminology.
- Strong time management skills.
- Clear, concise and effective communication skills
- Experience with SAP SRM
- Strong computer skills using databases, and Microsoft Office Suite (Word, Excel, PowerPoint).
- Basic office management skills (phones, filing, use of office equipment etc ).
- Ability to work independently and complete duties and projects with little direct supervision.
- Ability to accurately work under pressure in meeting deadlines.
- Must have excellent organizational skills.
