Brief Description
Reporting to our corporate office in north-central Phoenix, this individual provides confidential executive and administrative support to the President and other members of the leadership team. Works with minimal oversight and instruction. Focuses on tactical as well as strategic duties and planning.
Detailed Description
Manages President's schedule/calendar - schedules meetings identifying conflicts, liaising with Leadership Council members on President's requests/directions; completes all travel arrangements and itineraries.Generates and maintains files, records, reports and correspondence of a highly confidential nature. Prepares reports, spreadsheets and presentations, and researches and analyzes information and supporting data in preparation for meetings.Prepares reports and spreadsheets based on knowledge of various software packages.Independently composes correspondences, handles telephone requests and responds to internal and external inquiries.Coordinates collection and preparation of key records, such as budget expenditures and records of performance management.Assists with major events and meetings that involve the President, i.e. Holiday Gala, Family Day, business hosting events.Undertakes project work as required.
Job Requirements
High school degree and 1-2 years college coursework in business, finance or related field. Associate's degree or Bachelor's degree preferred. 8+ years of administrative experience in an executive office environment. CPS and/or professional certification in office management preferred. Ability to contribute in an environment focused on customer satisfaction.Ability to build productive working relationships with coworkers and team members.Ability to communicate effectively both orally and in writing (e.g., editing, spelling, listening, proofing).Ability to be flexible with job duties and scope of work.Ability to work under minimal supervision (e.g., initiative, judgment, discretion with confidential information).Strong supervisory and administrative skills.Strong interpersonal skills (e.g., tact/diplomacy, cooperation, negotiation).Coordination and organizational skills.Demonstrated experience in administration/office procedures.Demonstrated leadership and team-building ability.Strong organizational, communication and problem resolution skills.Proficiency with computer systems, including Microsoft Office applications.
