Electricity Operations is responsible for the electrical transmission and distribution systems in the City of Edmonton, with a focus on safety, reliability, and innovative and practical solutions. Our employees look after electrical infrastructure as well as the underground and aerial distribution networks.

Brief Description

The Administrative Assistant, Capital Construction supports all administrative functions for the Capital Construction Team (Approximately 120 front line employees and managerial staff in Aerial, Underground, Lifecycle and Downtown Network). This position is accountable for the set up and management of office systems to support these teams.  Key accountabilities will include:  document management, meeting logistics, records management, drafting editing and distribution of correspondence, reports, presentations and related documents, compiling and presenting operational statistics, and providing related administrative functions.  This includes ensuring work is completed efficiently and accurately while effectively coordinating the team's needs and expectations.

One (1) permanent, full-time position is available.

Detailed Description

  • The Administrative Assistant, Capital Construction is accountable to the Senior Manager and operates within the context and prescribed limits established by the Senior Manager. The accountabilities of this role include, but are not limited to:
  • Calendar Management; including scheduling and coordinating meetings for Managers.
  • Develop correspondence, spreadsheets, presentations, and reports for Management(s) review and or signature.
  • Construct meeting agendas and ensure the coordination and timely distribution of supporting materials; prepare and distribute minutes
  • Creation and validation of annual Work Orders for field crews.
  • Implement and maintain a system for tracking TSR's, AR Clothing, Vision Care, i-expense requirements, purchase order requisitions and Mobile devices - review against monthly billing reports; take actions to rectify with provider.
  • Maintain various SharePoint sites utilized by the team, update content and set up administration controls.
  • Ensure delivery of optimal results against appropriate performance metrics and carrying out the following duties in this respect: scheduling, completing assigned tasks, participating in pre-job briefings and post-job debriefings, assisting colleagues in problem resolution strategies, monitoring own tasks, keeping the Managers informed of task progress, reporting accidents or safety concerns, assisting with month-end reporting and metrics.
  • Troubleshoot project billing and billing inquiries.
  • Respond to faxes, e-mail by drafting responses, editing power points and word documents. Prioritize and distribute courier parcels for the office.
  • Construct, maintain, and modify the Capital Construction SharePoint site; distinguish between appropriate users and permission levels.  Ensure information is current and organized for easy search and reference and that materials are archived as required.
  • Establish and maintain an efficient filing system for all documents produced by the Capital Construction Team (Aerial, Underground and Construction).
  • Work independently to respond to general inquiries; resolve issues where possible, research information, formulate responses or refer to technical experts on the team.
  • Order, receive and store all office supplies; ensure adequate supplies are maintained.
  • Coordinate travel and other meeting arrangements as required.
  • Special projects as assigned.

Requirements

The successful candidate will possess the following qualifications:

  • Grade 12 High School Diploma or GED.
  • Post-secondary education in Office Administration preferred.
  • Completion of business courses related to Microsoft Office and data capture processing required.
  • Demonstrated experience in basic Microsoft Office applications, including Word and Excel.
  • 3+ years of experience in a multifaceted administrative role, ideally in a construction, transportation or utility environment (with field operations).
  • Note:  Equivalent combination of training and experience may be considered.    
  • Strong computer expertise with proficiency with Microsoft Office applications, including word processing, spread sheets, and presentation software at an advanced level.
  • Proficient at utilizing internet searches.
  • Effective written communication skills, including drafting, editing and proof-reading.
  • Proficiency with office equipment including modern photocopiers, printers, scanners, laminating machines, shredders and label makers.
  • Experience taking and preparing clear succinct meeting minutes (group environment and audio recording).
  • Excellent verbal communication skills; clear succinct communication style.
  • Flexible and able to manage multiple conflicting priorities in a fast paced, changing environment.

Wage: $26.32 - $31.39 per hour
Hours of work: 8 hours per day, 40 per week, Monday to Friday
