Reporting to the Coordinator, Office Services, the Administrative Assistant will primarily support the Vice President, Corporate Development and the Corporate Development Team (Regulatory Affairs, Surface Land & Stakeholder Affairs, Commercial (and Mineral Lands) and Communications) and provide back-up support to other asset, business and technical teams and other administrative assistants.

This position is based out of the Calgary office and is a 1 year contract.

Responsibilities

  • Provides clerical/administrative assistance to the Corporate Development Vice President and Team, and as back-up to other asset, business and technical vice-presidents and teams, including:
  •  Providing administrative support to prepare, edit, track and file regulatory, communication, technical, commercial and financial reports, submissions, correspondence and presentations;
  • Assisting with assembling and distributing reports and studies;
  • Creating and maintaining paper and electronic files and documents, and support team and corporate records management and data entry to ensure all permits, licenses and reports are properly filed;
  • Assisting with corporate processes to support policy compliance, contract approvals, department budgeting, AFE preparation and cost tracking activities;
  • Preparing and distributing pre-read minutes of meetings for executives, leadership and working teams;
  • Following up on items requiring action, including obtaining information and preparing briefs on issues, resolving minor administrative or logistical matters;
  • Collaborating with the corporate administrative team to ensure efficient resolution of administrative issues;
  • Coordinating meetings, making travel and lodging arrangements, etc.;
  • Supporting organization and hosting of corporate events;
  • Managing vacation and out of office tracking; and
  • Assisting in tracking corporate credit card/expense claims.

Office Administrative duties include:

  • Supporting Office Services Coordinator to address building maintenance issues/concerns;
  • Monitoring and maintaining kitchens, file and copy rooms, ensuring adequate supplies are available/ordering as required; and
  • Providing back-up coverage to corporate reception and other administrative assistants.
Requirements

  • Degree/Diploma in Office Administration or similar post-secondary education minimum
  • B.A./B.S. (Business, finance, economics) or equivalent degree preferred
  • 5 years+ administrative support experience, required;  at the Executive level an asset
  • Proficient in English, written and oral, required
  • Experience in the Upstream Energy Industry an asset
  • Advanced computer skills, including Windows and Microsoft Office Suite (Outlook, Word, Excel, Powerpoint, Adobe, and Sharepoint), and working knowledge of typical tools used in the Upstream Energy Industry (e.g. SAP, AER DDS, CS Explorer, SiteView, StakeTracker, etc.)
